Rapid meeting booking

Event delegates from over 50 countries worldwide have used Meeting Mojo websites to schedule meetings with their business targets, with an average visit time of under 10 minutes – a rapid, convenient way for your delegates to start doing business before the event has even started. Each person receives a login account where they can search for other delegates and request meetings with them.

  • Simple, click-to-request function.
  • The system alerts meeting participants via email whenever a meeting is requested or updated (can be switched off for individual delegates).
  • Participants can add personal messages to each meeting. Replies are threaded, creating a online conversation that your delegates can refer to before and after each of their meetings takes place.
  • Meeting slots may be closed during important activities – plenary sessions, or lunchtime
  • Each delegate can control his/her own availability for each timeslot, and reschedule meetings
  • Each delegate’s login console presents all meetings, pending and confirmed, as well as any message alerts.

Multiple operating mode options

Meeting Mojo has 4 different meeting scheduling modes and 4 meeting location options.
Choose the right meeting scheduling method for your delegates – or manage the scheduling yourself:

star Calendar Delegates select meeting times from a list of mutually available slots when sending each meeting request. The system holds each requested slot until the meeting is accepted or declined. This is the original and popular Meeting Mojo system, giving delegates direct control of their meeting calendars – recommended for events with defined 1:1 meeting sessions where space is limited, or for exhibition formats.

star Auto Select Delegates are permitted unlimited meeting requests, as the system assigns a meeting timeslot only when a meeting is accepted. Maximizes 1:1 meetings for larger events or business conferences.

star One-way Request Only some groups of delegates are permitted to send meeting requests – an important feature for B2C or ‘Meet the Buyer’ events. Can be used in combination with either Calendar or Auto Select mode.

star Instant Schedule The system can be set to schedule meetings the instant they are requested, creating a very rapid booking process for dedicated B2B/C events, or when you are managing the scheduling. Can also be used in combination with either Calendar or Auto Select.

Choose from a range of meeting location options:

star Public meeting places
Add numbered tables or booths, or named rooms to your Meeting Mojo system. It will automatically assign one of these locations to each confirmed meeting.

star Shared meeting areas
Designate an area of your venue where meetings will take place – this can also act as an overflow for times when the  are all occupied.

star Company/delegate specific meeting places
If your delegates have an exhibition booth, or are renting a private room at your event, the system will ensure that all their meetings take place at this location. Short-term meeting space rental is also covered.

star Individual meeting places
For events that expand outside traditional conference and tradefair venues, you can enable your delegates to enter their own meeting place.

Meeting Mojo will never double-book a delegate or meeting location, and always shuts down meeting times in which all the available locations have been assigned to meetings.

Rich business profiles and powerful search

The inbuilt profile form enables delegates to rapidly add their online profile, which is displayed in a searchable listing. Each delegate account includes drag ‘n’ drop image uploads for their company logo and portrait picture, and you can add unlimited profile fields to help your delegates build up rich, searchable profiles, ensuring the best business outcomes.

Personal, downloadable meeting calendars

Each user’s meetings are automatically added to their personal, online schedule. You can add agenda details to the schedule, and/or enable users to add event activities, creating a personal event itinerary. The Notes feature enables users and event managers to add a short note to any timeslot as a reminder or tag.
The schedule can be viewed online, printed or downloaded as a pdf. Send each delegate their schedule via the system emailer, or download all schedules in bulk for print and handout at the venue.

Workshop/roundtable signup

Use Meeting Mojo Sessions to create lists of workshops, roundtables or other events on your scheduler. Your delegates will be able to sign up to these online, adding each one to their personal calendar. Add as much detail as you want for each session, and optionally display the names of delegates who have signed up.

Simple conference websites

Multi-language versions

Meeting Mojo is currently available in American and British English plus French, German, Italian, Polish and Spanish. Display any one language option or select multi-language, allowing your delegates to choose their preferred language for viewing website content, booking meetings/sessions, and receiving system emails. You can edit website content and email templates in any language. New languages are being added all the time – ask us for our special translation template and submit your own!

Meeting Mojo features a number of different reports, onscreen and downloadable in spreadsheet format. Keep on top of your 1:1 meeting system in real time from your admin Dashboard: view meeting request/accept/decline stats, download meeting lists and delegate availability and print delegate schedules at your event venue.

Meeting Mojo uses encryption, randomized password generation and Secure Socket Layer technology to protect user data. We can also lock down your system configurations to prevent accidental removal of vital features, and our Sub-manager option gives your staff access only to the areas they need to carry out maintenance and service tasks.
